The app, one page

Everything you need day to day, in the order you will meet it. Nothing here is a test, it is a reminder. If something is not on this page, ask.
Start of the day

Clinic Hub

  • Daily checks, tick them as you do them. Each tick is stamped with your name and the time.
  • Top cards tell you the three or four things that actually matter today. Work down them.
  • Handover at the end of your shift, so whoever is next knows where things stand.
  • Tally every enquiry as it comes in, phone, walk in, DM. It takes two seconds and it is how we know what is working.
Yours alone

My page

  • Given to me, the jobs with your name on. Tick them done here or on Clinic Hub.
  • My own to-do list, private. Nobody sees it, ever.
  • My next 1:1 and Next team meeting, jot through the month, press Share when you are ready. Only shared notes reach Kelsey.
  • Agenda tab shows what is going to the next team meeting.
  • Leave, what you have earned so far and what is left to take, then ask for dates.
  • My training, in order of urgency with the date it is due. Do it on Blue Stream, tick it here.
  • My documents, payslips, P60s, certificates, 1:1s, pension, contracts.
Patients

Patients and Plans

  • Build a Plan after a consultation. Search the menu, add treatments, save.
  • Staff press Save and send for clinical review. Kelsey approves and sends. Never send one yourself.
  • A plan already sent is a document to read, not a form to rebuild. Need a change, make a new version.
  • Replies is where patient messages land. Answer from there so the history stays in one place.
  • Full name and phone number before anything is saved. No exceptions.
Selling, gently

Memberships and offers

  • Membership builder, build it with them on the screen, it prices as you go.
  • Offer builder for anything running this month.
  • A membership is a membership, even when it includes skincare.
  • Never push. Education is the job, the decision is theirs.
Looking things up

Library and Comply

  • Library is where you look first: how to pages, checklists, the patient book, dosing charts, every login.
  • Copy message gives you the ready written WhatsApp with the link already in it. Paste and send.
  • Comply holds the policies. Read what is yours and sign it on the page.
  • Some policies are for clinicians only, some for injectors. If it says "yours to read, not yours to sign", that is right.
Stock and money

Day to day admin

  • To order column on the task board, put it there the moment you notice, not later.
  • Petty cash and barcodes live in Library.
  • Costs, margins and profit are Kelsey's only. If you cannot see a number, that is deliberate.
The short version

Five rules

  • If it is not written down, it did not happen. Tally it, tick it, note it.
  • Every button tells you what it did. If one does not, flag it.
  • Anything clinical goes to Kelsey before it goes to a patient.
  • Your private notes stay private until you press Share.
  • Flag anything odd in the Bug, niggle or idea box on Clinic Hub. You will see the answer on My page.
When something is wrong

Who to ask

  • App not behaving: the bug box on Clinic Hub.
  • A patient is unhappy: tell Kelsey the same day, do not sit on it.
  • A complication: Kelsey first, then the prescriber on duty if she cannot be reached.
  • Not sure whether to send something: do not send it, ask.
